# Tasks

> Track enquiry follow-ups in WorldVisa CRM, manage work from the main Tasks page, set priorities and deadlines, and understand automatically created tasks.

Use **Tasks** when something needs to be done, such as calling a client back, collecting missing information, or reviewing a report. Give the work a clear title and deadline so it remains visible after the conversation ends.

## Tasks for an enquiry

Open the client's enquiry and select **Tasks** to see the work linked to that enquiry. Check the service and destination first, especially when the person has more than one enquiry.

Use **Status** and **Priority** to narrow the list, and the refresh icon to request the latest tasks. If a filtered view is empty, clear the filters before creating another task.

When no tasks exist, select **Add Task**. Once tasks are present, use the available add control in the list. Open a task to review or edit its details.

> [!NOTE]
>
> The enquiry's Tasks tab and the main Tasks page provide different views of the same work. You do not need to create a second task to make an enquiry task appear in the wider list.

## Create a task

A useful task tells you what to do without having to reopen every note. Use a title such as **Call client to confirm missing employment dates** rather than **Follow up** alone.

![Create task drawer with labels for the title, description, status and priority, deadline, and save button](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/tasks-create-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=e7a8ea18c1d3f9ae5e00aa8dda9ec680)

**1. Name the action**

Enter a **Title**. This is required and appears in the task list. Make the expected action clear.

**2. Add the context**

Use **Description** for the background, outstanding questions, and what a completed task should achieve. For example: “Confirm the start and end dates of the client's previous role before preparing the assessment.”

**3. Set status and priority**

New tasks start as **Todo** with **No priority**, unless you choose otherwise. Select a status that reflects the actual work and a priority that helps the team decide what needs attention first.

**4. Add labels and a deadline**

Use **Labels** to categorise the work, such as call, email, or follow-up. Set the **Due date** and time when the work needs to be completed. A deadline is especially useful when you have agreed a callback with the client.

**5. Create the task**

Select **Create task**. From an enquiry, the task is linked to the client and enquiry you have open. Review the saved task to confirm the details.

Tasks default to the person creating them when no other assignee is selected. Assignment options depend on your role; executives can assign tasks only to themselves.

## Work from the main Tasks page

Open **Tasks** under **Manage** in the CRM sidebar when you want to review work across enquiries. This is the wider CRM task list, rather than the tasks for a single enquiry.

![Main Tasks page with labels for sidebar navigation, list filters, status selection, and task details](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/tasks-status-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=6ea7bd5e6606fc7b7caf124e84d56163)

The list is scoped by your access. Staff generally see their assigned work, team leaders can see work for their team, and roles with broader access can see a wider set of tasks. Opening the main page does not give every staff member access to every organisation task.

Use **Status**, **Priority**, **Label**, and **Search** to find the work you need. Tasks are grouped by status. Select a task title to open its details; the reference, such as **CRM-21**, helps you identify it when discussing work with a colleague.

When creating a task from this wider page, use the enquiry and assignee fields where available. Select the correct enquiry when the work concerns a particular client. A general task can be created without linking it to an enquiry.

### Keep the status accurate

Select the status icon beside a task to update its position in the workflow.

| Status | When to use it |
| - | - |
| **Backlog** | Work that is waiting to be picked up or needs another review. |
| **Todo** | Work that is ready to be started. |
| **In Progress** | Work you are actively handling. |
| **Done** | The intended action has been completed. |
| **Cancelled** | The action is no longer needed. |

Mark a task **Done** after carrying out the action, not just after opening the client record. If a callback leads to another agreed action, record the outcome in [Notes](https://docs.worldvisagroup.com/crm/reviewing-a-lead/timeline-and-notes.md) and create or update the next task as appropriate.

### Set a useful priority

Priority expresses urgency; the due date tells you when the work is expected. Set both when the task has a specific deadline.

![Task priority menu with labels for priority selection, task reference, task label, and due date](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/tasks-priority-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=003e5026ba853b066c5f56312d8bcf3b)

The available options are **No priority**, **Low**, **Medium**, **High**, and **Urgent**. Choose them according to the work's actual importance rather than marking every follow-up urgent.

You can change priority from its icon in the task row. Labels and dates remain visible alongside the task, helping you review the type of work and its timing without opening every entry.

## Tasks created automatically

Some CRM actions create a task for you. Check the enquiry's task list or the main Tasks page before adding another reminder for the same action.

| Action | What the system creates |
| - | - |
| **Record a call follow-up date** | A callback task linked to the client and enquiry, assigned to the staff member recording the follow-up, with a **call** label. |
| **Mark a lead as Future Prospect with a follow-up date** | A follow-up task carrying the chosen date and the **future-prospect** label. The reason is included when provided. |
| **Schedule a meeting linked to a client enquiry** | A meeting task for the scheduling staff member, with a **meeting** label and a due time based on the meeting's end time. |

For linked call follow-ups, changing the follow-up details can update the existing task. Removing the follow-up date can remove that linked task, so review the current task rather than creating duplicates.

Automatic task creation supports the workflow, but it does not mean the work has been completed. Review the title, deadline, and current status, then act on the task.

## Due reminders and overdue work

Assigned tasks in **Todo** or **In Progress** can receive reminders as their deadline approaches. Overdue tasks in these statuses can be moved into **Backlog** by the system for another review.

If a task returns to Backlog, check its deadline and the work still outstanding. Complete it, set a realistic new deadline, or cancel it if the action is no longer needed. Do not assume that moving to Backlog means the work was completed.

## Make the next step easy to pick up

Before you finish a client interaction, ask: **Is there something we have agreed to do later?** If so, check whether a task already exists. If it does not, create one with enough detail to be useful tomorrow.

For example:

> **Title:** Call client after reviewing the language test result
>
> **Description:** Client will share the result before the callback. Review the scores, confirm any missing information, and discuss the next assessment step. See the latest enquiry note for the conversation summary.
>
> **Due:** The date and time agreed with the client.

> [!TIP]
>
> Use **Notes** for what happened and **Tasks** for what needs to happen next. Writing a next step in a note does not create a task automatically.
