# Applicants

> Manage main and dependent applicants together in WorldVisa CRM, collect genuine contact details, switch profiles, and prepare a clear household for DMS.

When a client is applying with a spouse, child, or another eligible family member, add them as a **dependent applicant** on the enquiry. You can then maintain their profiles alongside the main applicant, without opening a separate lead for every family member.

Collect the person's real details before adding them. These records continue into the application and help the case officer understand who is applying and how each person is related.

## Understand the household

A **household** groups the main applicant and the dependants attached to a particular enquiry. The main applicant is the principal person for that group; each dependant has their own person record and relationship to the main applicant.

The household follows the enquiry. If a client is considering two destinations, check the applicants attached to each enquiry rather than assuming that the same family group has been added to both.

| What you select | What changes |
| - | - |
| **Enquiry tab**, such as Canada or Australia Permanent Residency | Opens another enquiry, with its own service, destination, progress, and household context. |
| **Applicant tab** inside Profile | Changes whose personal information you are reviewing within the current enquiry. |

Selecting a dependant's profile does not create another enquiry or make that person the main applicant.

## Collect genuine details first

Ask the client for the dependant's correct name, relationship, date of birth, and their own email address and phone number where required. Confirm who each contact belongs to before entering it.

> [!WARNING]
>
> Never enter a dummy name, invented email address, or made-up phone number to complete the form. Do not reuse the main applicant's contact details for another person. Email addresses and phone numbers must identify their actual owner and remain unique to that person. Incorrect details create identity confusion and extra work for DMS case officers later.

If a required detail is missing, collect it before creating the dependant. If a contact field is optional and the person genuinely has no contact of their own, leave it blank rather than inventing a value.

| Relationship | Contact requirements in the current form |
| - | - |
| **Spouse or partner** | Their own email address and phone number are both required. |
| **Child** | Date of birth is required. Email and phone can be left blank if the child does not have their own. |
| **Other allowed relationships** | Contact fields can be optional. Any details provided must still be genuine and belong to that person. |

The first name and relationship are required. Available relationships depend on the enquiry's service and destination.

## Add a dependent applicant

From the main applicant's enquiry, select **Add dependent** in the left panel. If the household already has dependants, select **Add more**.

**1. Confirm the enquiry and main applicant**

Check the selected service and destination, then confirm the person shown under **Main applicant**. You are adding the dependant to this enquiry's household.

**2. Enter the person's details**

Enter the real name, date of birth, and contact details collected from the client. Use the person's own email and phone number, not a shared placeholder.

If the system finds an existing client through the contact details, review the match. Use the correct existing person instead of changing the contact details to force a duplicate record.

**3. Choose the relationship**

Select **Relationship to main applicant**. Check any requirement shown by the form. A relationship that is not allowed for the selected service or destination cannot be added.

**4. Create and check**

Select **Add dependent**. Once saved, check that the person appears under **Dependents** with the correct relationship, then open their Profile tab to complete their information.

The main applicant cannot be added as their own dependant. The same person cannot be added twice to one household, and an enquiry can have only one spouse or partner.

## Maintain profiles on the same page

Once dependants are attached, **Profile** shows applicant tabs above the profile sections. Select the main applicant or a dependant to review and update that person's information in the same workspace.

![Profile workspace with labels for applicant switching, the selected person's details, household members, and Add more](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/applicants-profile-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=d8adf66794308833dc30133e6a605be3)

Check the selected name before typing. When a dependant is selected, General Information, Work Experience, Language Information, and Education show that dependant's information. Do not copy the main applicant's background into their profile just to fill the sections.

Sections marked **Applies to all enquiries** belong to the selected person. Updating a dependant's shared information also updates what appears wherever that person's profile is used. Their completion indicators reflect their own information, not the main applicant's completed profile.

The left Lead info panel remains the enquiry context while you switch profiles. Use the name tabs to confirm whose fields you are editing. See [Client profile](https://docs.worldvisagroup.com/crm/reviewing-a-lead/client-profile.md) for guidance on each section and how changes save.

> [!TIP]
>
> Work through one person at a time. Confirm their contact information, complete the background you have collected, and record anything still missing in [Notes](https://docs.worldvisagroup.com/crm/reviewing-a-lead/timeline-and-notes.md) for the team to follow up.

## Manage an existing applicant

Where your access allows it, open the three-dot menu beside a dependant in the left panel. Read the confirmation carefully because these actions change who is applying together.

![Dependent applicant menu with labels for profile selection, applicant actions, Make separate applicant, and Remove dependent](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/applicants-manage-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=8cbff06cc0ec135d2559cd716864587c)

### Make separate applicant

Use **Make separate applicant** when the person should proceed through their own enquiry rather than remain a dependant on this one.

The action removes them from the current enquiry's applicants and opens their own enquiry for the same service and destination. If they already have an open enquiry for that combination, it is used instead of creating another.

They need their own email address and phone number that no other client has. Confirm those details before separating them. Do not use invented contacts to make the action succeed.

### Remove dependent

Use **Remove dependent** when the person should no longer be included on this enquiry. The action removes them from the enquiry's household and the related case, if one exists. Their person record is kept.

Removing someone from one enquiry does not mean their identity record should be recreated under a new name or contact. Check the existing record if they return later.

## When applicant changes are restricted

Applicants are managed from the main applicant's enquiry. If the panel tells you another person is now the main applicant, applicant changes are unavailable from the enquiry you have opened.

Changes can also be refused when a relationship is not allowed, a person is already included, the application is finished, or it has progressed beyond the permitted stage. Follow the message shown rather than trying to bypass it by creating another person record.

## Leave a household the case officer can understand

The applicant records you prepare in CRM support the household and applicant information used in DMS. Before handover, review the people included in the enquiry and resolve unclear or incorrect details.

* Confirm the main applicant and every dependant's relationship.
* Use genuine names and each person's own unique contact details where provided or required.
* Keep each person's background in their own profile.
* Identify missing information clearly instead of filling it with placeholders.
* Explain any agreed change in who is applying through a current handover note.

A case officer should be able to understand who is applying, which details have been confirmed, and what still needs collecting without first untangling duplicate or dummy records.
