# Creating a deal

> Prepare primary and secondary invoices, choose a payment plan, apply report credit, and follow payment through to the agreement.

Once you have agreed the services and fees with the client, use **Deals** to prepare their invoice. This is where you turn the discussion into a clear payment request: what they are buying, how much they owe, and when they will pay.

Creating the deal and completing the service agreement are separate steps. This guide covers invoicing and payment. Continue with [Service agreement](https://docs.worldvisagroup.com/crm/service-agreement.md) to follow signing and conversion.

## Check the client before creating an invoice

Open the correct enquiry and review the client's billing details in **Profile**. CRM checks the details it needs before allowing invoice creation. In this example, the missing **state and pin code** must be completed first.

![Invoice creation warning with labels for the missing billing details and Open profile action](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-prerequisites-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=daf9188cb73076c6726f4b265c3ff673)

Use **Open the profile**, collect the correct details from the client, and return to Deals. Avoid placeholder addresses; these details appear on the invoice and help Accounts identify the purchase.

## Create the deal

Open **Deals** and select **Create Deal**. The tab lists this enquiry's invoices, with **Status** and **Payment Mode** filters to help you find them later.

![Deals workspace with labels for the Deals tab, Create Deal action, and invoice filters](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-start-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=7c104b7ebf5450210a78d599ae286b79)

CRM creates a primary service invoice draft. For an enquiry that has not had a service deal before, an accepted proposal can fill in the services automatically. Later service deals start empty so you can add the new purchase. Report and consultation invoices do not count as those service deals.

> [!NOTE]
>
> Creating a primary service invoice moves an enquiry that is not already Won to **Deal / Deal Discussion**. A draft is still preparation: it has not yet asked the client to pay.

## Review the primary invoice

The builder shows your billing form on the left and the invoice preview on the right. Check both before sending, including anything filled from the accepted proposal.

![Primary invoice builder with labels for customer details, accepted-proposal prefill, the primary tab, and invoice preview](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-billing-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=b531ef74e209fc881180645953b03865)

**1. Check customer and billing address**

Review the customer's name, email, country, state, and pin code, along with the rest of the address. Make sure the invoice belongs to the intended client and enquiry.

**2. Set the invoice dates**

Check **Issue Date** and the relevant due date. A partial payment plan uses its own schedule, so review each instalment rather than relying on the disabled invoice-level Due Date field.

**3. Review the items**

Check the service, quantity, and amount. Add only the services you have agreed to sell. Compare the preview with the accepted proposal and resolve any difference with the client before sending.

**4. Choose the payment plan and method**

Set full or partial payment, then choose the payment method. Review any report credit, discount, GST, and platform fee in the final preview.

## Payment mode: full or partial

**Payment Mode** describes how the invoice amount will be collected. It is separate from **Payment Method**, which describes how the client pays.

![Payment Mode selector with labels for full payment and a partial payment plan](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-payment-mode-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=aaaac54307c77db883a3f2390d448146)

| Mode | What it means |
| - | - |
| **Full Payment** | The invoice is collected as one payment. |
| **Partial Payment** | The primary invoice is divided into a supported stage-wise plan or scheduled split payments. |

For example, a client can have **Partial Payment / Split Payment** and pay the first instalment through netbanking. The plan and the method answer different questions.

### Choose the partial payment type

Select **Partial Payment**, then choose **Stage-wise** or **Split Payment** under **Type**.

![Partial payment type selector with labels identifying product milestones and scheduled instalments](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-partial-types-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=07edd3cf0a4460173123bb6487a67fd9)

**Stage-wise** uses the selected product's configured application milestones. It supports one qualifying plan product on the invoice; additional products or add-ons belong on the linked secondary invoice. Review the resulting milestones and amounts before discussing them with the client.

**Split Payment** divides the amount into instalments with dates. Use it when the agreed arrangement is a schedule of payments rather than the product's application milestones.

### When stage-wise payment is unavailable

If the chosen product has no stage-wise plan, CRM shows the message below. Choose a supported arrangement rather than promising milestones the product does not provide.

![Stage-wise payment warning with labels explaining the unsupported product plan](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-stage-unavailable-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=fafd9c4f183fe0f90e566f710cf9a351)

Switching to stage-wise can narrow the invoice to a qualifying product. Recheck the item list afterwards. Do not substitute a different service simply to make this option available.

### Set up split payments

Choose **15 Days**, **30 Days**, or **Custom**, then review the names, amounts, and dates of the instalments. Use **Add Split** where another instalment is needed.

![Split payment schedule with labels for the interval, instalment amounts and dates, Add Split, and preview](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-split-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=1582f83f2909cee814281df16b149c9c)

Check that the schedule matches the arrangement you made with the client. Read the final preview after changing products, discounts, or report credit because the amounts can be recalculated. Explain the first payable total and the later due dates, including the fees shown for each payment.

## Apply report credit

A paid report can create credit against a later service purchase for the **same enquiry**. The available credit comes from the report's taxable value after discounts; it excludes the GST and platform fee paid on that report. A free report does not create a paid-report credit.

When credit is available, use **Apply Report Credit**. The preview shows it as **Report purchase credit**, reducing the invoice amount.

![Report credit with labels for the toggle, discount in the preview, and adjusted instalments](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-credit-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=c51b2a42dc831198a31b45ec8256114b)

For example, the screenshot shows ₹2,500 deducted from a ₹55,000 service subtotal. This is an example of credit being applied, not a promise that every report purchase creates the same amount.

* Check the available amount shown by CRM; do not enter a second manual discount for the same report credit.
* Credit can be held by only **one invoice in a primary/secondary group**. If it is already held by the other invoice, the option is unavailable here.
* The invoice subtotal must cover the available credit for the deduction to apply. If CRM says credit is reserved because the subtotal is too low, review the preview before sending; do not assume the amount has been deducted.
* Report credit is an adjustment to the service invoice, not a new cash payment or refund to the client.

## Primary and secondary invoices

The **Primary Invoice** holds the main service purchase and can use full or partial payment. Use the **+** beside its tab to add a linked **Secondary Invoice** when you need to bill an additional service separately.

![Secondary invoice with labels for its separate tab, full-payment restriction, additional service, and invoice number](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-secondary-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=20fee6ce0ddcc48c521abc7ec77c52b8)

| Primary invoice | Secondary invoice |
| - | - |
| Holds the main purchase and its payment plan. | Bills an additional service within the linked group. |
| Supports full or partial payment. | Supports **full payment only**. |
| Can trigger the required service agreement after payment. | Does not send a separate service agreement or drive the main conversion flow. |
| Has its own invoice number and payment record. | Has its own invoice number and payment record too. |

The current setup supports **one secondary invoice per primary**. It is not the next instalment of the primary invoice. Instalments belong inside the primary's payment plan; a secondary bills a separate set of items.

## Payment methods and platform fees

Choose the intended **Payment Method** under **Platform Fee**. Available methods include card types, UPI, netbanking, QR where supported, and manual methods such as direct bank transfer, cash, and cheque.

Open **Bank Information** to review the displayed platform-fee reference. Check the selected method and the actual invoice preview before quoting the final amount. The percentages in the screenshot illustrate the configured reference at the time it was taken.

![Bank Information fee reference with labels for the payment-method rates](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-fees-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=793c98f348d75a1f7b0c526ddc97318d)

QR is not offered for a partial payment plan in this builder. Manual methods can expose currency, exchange-rate, and GST controls. Confirm any unfamiliar billing choice with Accounts before sending, especially for a foreign-currency invoice.

### Direct transfer, cash, and cheque: notify Accounts

> [!WARNING]
>
> After sending an invoice for **direct bank transfer, cash, or cheque**, notify **Accounts** and share the invoice reference. When the client pays, provide the payment details so Accounts can verify and record it. Selecting the method or sending the invoice does not confirm receipt. For the normal agreement-required flow, the agreement is sent only after the payment is confirmed in the system.

Give Accounts the client name, enquiry or invoice link, invoice number, expected payment or instalment amount, method, and any available transaction reference or payment evidence. For cash or cheque, include the relevant collection or cheque details. If the client says they have paid but CRM still shows payment pending, follow up with Accounts before asking the client to pay again.

Manual payment recording is restricted to authorised Finance users. It records the currently payable amount and then uses the payment-confirmation flow. Staff should coordinate with Accounts rather than treating a note or screenshot as a system payment confirmation.

## Send the right invoices

Review the preview one final time. With a single invoice, select **Send Invoice**. For a primary/secondary group, use the send menu to choose the whole group or the intended invoice.

![Invoice send menu with labels for sending the group, primary invoice, or secondary invoice](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-send-options-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=b4c2c8660a6cba06a7287a2a23aeb2db)

**Send all invoices** sends eligible, non-empty drafts. It skips invoices already sent, paid, cancelled, or empty. Check the result for each invoice; do not assume every record in the group was sent.

Sending the primary service invoice in the Deal stage changes the enquiry's status to **Awaiting Payment**. A secondary invoice does not independently move it through the main stages.

### Review a saved invoice

Select an invoice in the list to see its preview, status, payment plan, and available actions. The screenshot below shows a **Draft** invoice alongside a separate paid invoice.

![Invoice list with labels for status and amount, Edit Invoice, Send Invoice, and applied report credit](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-invoice-list-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=f0444b1628c774c587f5a65737646732)

Only drafts can be edited. Once an invoice has been sent, use the available cancellation/reissue process and involve Accounts where needed. Sent or overdue invoices can be resent unchanged. Avoid creating duplicate invoices just because the client needs the link again.

| Invoice status | How to read it |
| - | - |
| **Draft** | Prepared in CRM, awaiting issue to the client. |
| **Sent** | Issued to the client; check the payment record for receipt. |
| **Overdue** | A payment is overdue; review the schedule and follow up. |
| **Partially Paid** | Some of the invoice has been paid, with a balance still outstanding. |
| **Paid** | The invoice has been settled. |
| **Cancelled** | The invoice has been cancelled; review the current replacement or arrangement before collecting payment. |

These describe the **invoice**, not the enquiry's stage. A client can have a converted enquiry and still owe later instalments on a partially paid invoice.

If sending is blocked because an agreement template is missing or the service/country changed, resolve the stated issue before asking for payment. Do not bypass the agreement requirement to get the invoice out.

## After the client pays

For online payments, CRM uses the gateway's payment confirmation. For direct transfer, cash, and cheque, Accounts must record the verified payment. Check the invoice and Timeline to see what has actually been received.

![Client payment confirmation with labels for the recorded payment, invoice and receipt downloads, and next instalment](https://mintcdn.com/wv-enterprise/PcTxd3WLo5iruk9e/images/crm/deal-client-payment-annotated.png?fit=max\&auto=format\&n=PcTxd3WLo5iruk9e\&q=85\&s=0f200eb22710bd7a187f83c5f23b65b3)

The client can see payment details and download the available invoice and receipt. With a split plan, the page can also show the **next payment**, its due date, and a **Pay now** action.

A paid instalment does not mean the whole plan is settled. Review the remaining schedule and keep the client informed about their next payment. When the required first payment is confirmed, the normal service-agreement flow can begin; continue with [Service agreement](https://docs.worldvisagroup.com/crm/service-agreement.md).
